There are a few thing that are very important before coordinating a programme. You have to be very clear about what exactly your job is and what exactly you are appointed to do. Here i am going to consider that you are arranging everything from scratch.


So, once you know what exactly your duty is, next you have to know what the teachers/headmistress/VP or the Princ. wants. It is essential to know,


The time duration of the entire show. (If possible try and allot a specific time slot to each act. But thats for a little later.)

Know your shows i.e. sort out what acts or shows you want. Try not to put too much of the same act. It is seen that people are more entertained by dance shows or plays than by the chorus singing (No offence. I myself am from a musical background. But this is about general audience entertainment. It becomes a bit boring if there is not much movement on the stage.) Try and gauge what are the areas that your audience find interesting. In case there are too many chorus songs or something, try and make it interesting. Maybe add some movemsnt around the stage, gentle swaying and light hand movements (like hand hance kind of a thing) by the participants. Visually, the entire scene should be catchy.

DO NOT PUT IN TOO MUCH OF THE SAME KIND OF ACT!!! (This is one of the most important criteria! This almost determines whether your audience find the event interesting enough to keep their attention on the stage!)

Short list the number of participants.
