. create a spread sheet with students annual report which contains students names and their respective marks in each subjects

. save the spread sheet to unique name

.open the mailings tab and click start mail merge drop down box and select Email message

. click the select the recipient and select the require recipient we can select the existing list or create a new list

. Write the letter with a required data

. preview the letter you each recipient in preview your letter box

. In finish and merge drop down box . we can print or edit the letter
