Many factors need to be considered while planning any sports meet/activity in school. These include:

  1. Time slot- This involves ascertaining what time is most appropriate for the event. The weather and light conditions too need to be appropriate. For example, it is difficult for a cricket match to be played at dusk, when the players cannot see the ball too well. In this case, sufficient lighting would need to be provided or the match would have to be shifted to an earlier part of the day.
  2. Availability of people involved- People involved in the event will need to be given prior information so that they are available during the event. People involve team members or participants, umpires/ referees or the person conducting the event and other support staff, the chief guest (if any) as well as the audience.  
  3. Arrangements for the audience- Sufficient and comfortable seating arrangements would need to be made for the audience. This may also include setting up of tents. Additional people may be required to usher the audience to their respective seats in an organised and timely manner.
  4. Food and water- The school needs to provide at least water, if not refreshments, to the players, while the audience may be instructed to carry their own water bottles and tiffins. This also has to be planned in advance.  
  5. Garbage cans- A sufficient number of dustbins need to be placed around the venue, especially if bottled water or refreshments are being served. Littering is a common after-effect of an event, which needs to be avoided.
  6. The prizes- The authorities need to decide what the prizes would be. Would trophies, medals, certificates, or gift vouchers be given out? Also, the number of prizes to be given out need to be pre-decided.
  7. Expenses- The overall expenses involved in the event need to be calculated so that the budget is not breached.
