Answer:
Although we live in a world of technology backed communication, letter writing is an important topic in the English writing skills section for students.. While writing a formal letter, one has to strictly adhere to the format of letter writing. Such letters are written for official purposes to authorities, dignitaries, colleagues, seniors, etc and not to personal contacts, friends or family. On the other hand, an informal letter is written to one’s friends, family or relatives..
FORMAL LETTER FORMAT
Unlike informal communication, official communication or formal communication follows a systematic procedure. There are certain rules that one needs to adhere to while conveying a message in a professional setting.
Format of a Formal Letter includes:
Sender’s Address
The sender’s address is generally written on the top right-hand corner of the page. Ensure that the address is complete and accurate in case the recipient of the letter wants to further communicate with the sender.
Date
The date is written just below the sender’s address.
Receiver’s Address
The receiver’s address is written on the left side of the page after leaving some space.
Greeting
Here you greet the person you are addressing the letter to. Keep in mind that it is a formal letter, so the greeting must be respectful and not too personal. The general greetings used in formal letters are “Sir” or “Madam”. If you know the name of the person the salutation may also be “Mr. ABC” or “Ms. XYZ”. But remember addressing them only by their first name is a no no. It must be the full name or only their last name.
Subject
Now we come to the subject of the letter. We write ‘Subject” followed by a colon in the centre of the line. Then we sum up the purpose of writing the letter in one sentence. This helps the receiver know the subject of the letter by just glancing at it.
Body of the Letter
This comprises the main content of the letter. The is either divided into two or three paragraphs. The purpose of the letter should be made clear in the first paragraph itself. Keep the tone formal without using any bombastic language. Also keep in mind that the letter is succinct. And always make sure that you are respectful in your language.
Closing the Letter
The words “Yours Faithfully” or “Yours Sincerely” are written on the right side of the page.
Signature
