Answers
Daily planning of your activities before the day starts is a very good way to help use your time more effectively. Prioritize what is needed to be done for the day. Distractions and other emergencies or priorities may pop up during the day, but at least you will have set your priorities and focus.
Answer:
‘Management’ - can be defined [simply] as - the ‘process’ of dealing with or controlling things or people to achieve business [organisation] goals/objectives.
So important things to consider here are:- 1] goals setting 2] people/resources planning 3] systems / processes needed - and 4] performance - i.e. measuring & evaluating performance [achievement of goals set] against deadline [miles-stones].
I would suggest - applying the above - points to Daily activities as follows -
Setting Goals for Daily Activities -You [and the people involved]- would identify the ‘daily activities’ that need to be done. Remember don’t over-complicate. Focus on important tasks. Once identified - set miles-stones, deadlines,—- > Clarify - against each task-> what you need to “achieve” and “when”. Eg:- Look at all aspects you need to achieve daily - —->>> Family responsibility [cooking, cleaning, shopping , kids schools etc], Work [financial] responsibility, Personal health/ activities [exercise, hobby, spiritual etc] - Other aspects , emergencies etc.—— Make a list of each section. Write what needs to be achieved, when. Note:- One way of looking at daily tasks is -You could - Break yearly goals/tasks- > to monthly - these to weekly - > these to daily.
People / Resources planning - Then identify/plan-> all resources /people you need to achieve these. What can you delegate? what do you need to do yourself? -> Eg:-Lets look at - Family responsibility :- Cooking -> do you plan to have a cook? or are you planning to do it yourself? -> Plan /write -> all meals for a week in advance on (probably a Sunday for the coming week), -> Make a list of ingredients required accordingly. Shop for all required ingredients on a fixed day [again what can you do online and what you need offline],-> then Plan time schedule- that will be taken each day to cook -each meal [- considering you have other activities planned for day] etc. etc. - Thus you can do the same for all ‘daily’ activities /tasks.
Systems and Processes - Set up standard - systems /processes -> where- ever possible [specially repetitive tasks] - so that you achieve daily activity - goal set. For eg- Every Friday - after work, as a fixed schedule/ routine you may schedule to do your ‘errands or shopping’. - Kids homework will be done every Saturday & Sunday -> 11am to 1pm. etc.
Measurement and Evaluations - of the daily task /goals set . This is important - to check if the current systems, planning , resources, timelines , schedules etc. -> you set up are working well and giving you results ? or not? - Then evaluate what needs to change for better daily activity -> achievement and make changes accordingly. Eg: - If a Goal was to loose 1 kg. in 2 weeks but couldn't -> One analyses it was as s/he missed quite a few exercise classes-> due to other daily activities that needed priority. Then identify how to change the plan to ensure exercise is done - as eg- change the exercise class to another timing?. Maybe get up half earlier to exercise? - or work-out at home? or choose another form of exercise? etc.
Finally Very Important to remember the following - i] Keep it simple - all daily planning etc. should not make life more complicated. Idea is to cause less stress and more efficient planning. - ii] Make “smart” plans and do not end up working harder. Planning - should give your more time to do activities you enjoy and leisure time. It should make life easier. - iii] Take action - Stick to plans and see results. If not -> Have a flexible mind. If something doesn't work - Change it. - iv] In case of procrastination - analyse why? - is it the task? , or mindset? - or ? - work on it- find solutions. - v] Even if you [or others involved] miss following - the plan/ goals /deadline - don’t be upset or hard on yourself or others - just relax and analyse. Find solutions. If there are emergencies - reset/re-plan. Learn to relax and re-focus and reset. vi] Take into consideration others [involved]- opinions/ideas - in planning or finding solutions. vii]- There are many ready made templates online [free]- which can help you in daily task scheduling, ideas etc. So do a search and look at options that best fit your requirement. viii] Take time out to enjoy.
Hope this helps.
Wishing you the
