Go buffet style, not plated portions.
Set the meal at a time when people actually want to eat -lunch time or dinner time, not 16.30!
If you aren’t using a professional caterer, get proper advice on portions and stick to it. This means having a fairly firm head count!
Label things so everyone knows what it is!
Avoid things that lots of people won’t or can’t eat. This can often be as simple as keeping stuff simple- don’t put out a huge mixed salad- put out salad leaves, and tomatoes, and olives, and shaved Parmesan and…. so people can make a salad they want. Allergies etc are easy to avoid like this
Cheap but good quality ingredients work well. We ordered 40 fresh baguettes from a local bakery we know- very cheap but useful with salad, cheese, charcuterie… We also had a large quantity of new potatoes from the garden- cheap but very nice.
Seasonal and local makes stuff both better and cheaper. Seasonal fruit is good, and a way to lighten a meal.
Include the cake in your portion calculations
Things that keep are also good- we ordered a cheese board from the local dairy, and were eating left over cheese for weeks afterwards. Same goes for Dry ham, sausage etc. Left-overs didn’t get wasted.
