It was a Saturday evening and Sweeny Lewes, Manager HR – New Century Villas PVT LTD, based in Mumbai, dealing in real estate and infrastructure, was determined to take all the pending correspondence before leaving for the weekend. The company, one of the leading infrastructure companies in the country, was to launch its new ventures in various A and B class cities. Zameer, company’s Marketing Manager, was sent to Kolkata to make a presentation on the upcoming project in the newly developed SEZ area in south Kolkata. He had to address a gathering of about 300 people, who were representing prominent builders, industrialists and corporate houses. The venture was Park Palace Hotel, one of the luxurious hotels located in the heart of south Kolkata. Jayant Kulkarni, another Marketing Manager, also went along with him. A few days back, Sweeny had received a memo from Zameer, which reads like this: “Last week I made a presentation in Park Place Hotel, Kolkata and carried two briefcase with me. My personal briefcase in which I carry my essential toiletries including a change, in case, I am held up for some reason and have to stay overnight and the second one which was filled with brochures and pamphlets for distribution to the different people. I also carried my laptop in that suitcase along with its bag. Before the presentation, I kept my mobile phone on the silent mode and had it put in the briefcase. I generally keep it on the table. At the end of the presentation, I distributed the brochures and pamphlets to all those who asked for it. I felt the response was so overwhelming and I am sure few villas will be booked in the coming week. In fact, a good number of people from La Meriden Software and World Bank, HCL Computers were also present. You will also be happy to know that a group of central government organization contacted me as soon as I finished my presentation. I feel next time when I make a presentation I will need three more people to help me out during and after the presentation because it was utter chaos at the end of presentation. After all, there were around five hundred people in the audience. All of them were keen to discuss with me the proposed project. I tried to satisfy them as much as possible. Then I collected all the details of the interested people I picked up my laptop and the regular briefcase. It was a very hectic day for me I wanted to freshen up myself so I went to the washroom. The washroom was close by. Immediately after knowing that I moved to the waiting taxi to reach the airport, Completely forgetting about the other suitcase. I had also kept my mobile on silent mode in the suitcase. When I left the to the airport, I was very tired and went to sleep as soon as I boarded the plane. It was only after reaching my home, the following morning I discovered what had happened, I immediately called up Hotel Park View Kolkata. But they were unable to tell me if the briefcase was seen by any of the security guard and kept in safe custody. This leather suitcase was around a month old and was an expensive one and the mobile phone was the one my late father-in-law had presented me on my birthday, hence it has lot of sentiments value for me and my wife. I have not told her about it. Since the company policy manual states that the employees will be reimbursed for all the reasonable cost of the carrying their assigned duties. May I please reimbursed for the loss of my suitcase and the mobile phone? I have the cash memo for both the items and am enclosed. Sweeny has been thinking about this situation ever since she received this memo. She had even discussed it with Mr Deepankar Bose, the Marketing Chied and also with Ms Ankita, Sr HR Manager. Both of them instructed her to make whatever decision she thought would be appropriate. Zameer is a good Marketing Manager with excellent presentation skills and the policy manual does contain the exact sentence he has quoted. On the other hand, Sweeny feels that assuming responsibility for such carelessness would not only set wrong precedent but also difficult in these days of cost – cutting and things like that. Sweeny Decides two things; first, she will write a memo to all the staff members, interpreting the company policy in detail. Sweeny wants staff to know that in future she intends to interpret this policy to mean that any personal property that is stolen or lost will be reimbursed at a discounted present value, only if reasonable care has been taken to secure such property. That too, if the incident is reported within 25 hours and if the value can be determined. Any employee can however appeal Sweeny,s decision to HR manager. Second, probably the present policy may not have been sufficient clear, therefore, Sweeny will write a memo to Zameer and agree to his reimbursement request. write simple letter
