LETTER STRUCTURE

Remember about the letter structure.

Start with a formal greeting.

The letter should start with an introductory line or two, introducing the general topic of the letter, e.g. referring to previous correspondence, a meeting or conversation which resulted in writing it. e.g. "I'm writing in reply to ...." or "I"m writing with reference to ..."

There are always three points in the exam instruction you should cover. Each of them should be dealt with in a separate paragraph.

Remember about the final sentence or two which sum up the letter, e.g. "I'm looking forward to your reply, and ..."

Sign the letter with XYZ and end it with an appropriate greeting.

2. PARAGRAPH DEVELOPMENT

Each paragraph should start with a topic sentence introducing the topic of the paragraph.

Every idea in the paragraph should be justified and developed (example, explanation, consequence).

Sentences should be logically connected with the use of linking words, such as: moreover, for example, therefore, however.

Use appropriate expressions to give and request ADVICE.

4. FORMAL LANGUAGE

5. GRAMMAR NOTE

The word "advice" can be a tricky one. So make sure you know the difference between a noun and a verb, and remember that the noun is uncountable.

You have been tasked with organising a conference about security. You received an e-mail from Capt Jones, one of the speakers, asking for some information. Write an e-mail to the speaker 1) informing about the date, place and other details of the event, 2) asking for advice concerning the equipment or services he might need as a speaker (projector, screen, laptop, access to photocopier, etc) and 3) suggesting possible accommodation options. Write a minimum of 120 words.

Dear Sir/Madam,

I am writing with reference to the language course you are going to run in my unit.

First of all, I would appreciate it if you could help with the questions I have. To begin with, could you advise me on what preparations the unit should make before the course begins, for example, classrooms, equipment, etc.

Secondly, I would like to suggest the skill your teachers should focus on. Currently, our soldiers are preparing for the international exercise and therefore their greatest need is speaking. Consequently, I strongly recommend developing their speaking skills which will allow them to communicate with foreign partners.

Finally, I would like to offer you some advice concerning your teachers’ accommodation. I would advise them to stay at the base. Although the conditions in the nearby hotel are much better, the distance to the base and the morning traffic might become an everyday nuisance.

I trust you will accept my recommendation and I hope that I could be of help. I am looking forward to hearing from you as soon as possible.
