Sub: Enquiring about catering and other charges
Sir,
My family has decided to conduct the wedding reception of my sister on your lawns and the reception has been fixed for the 2nd april. It will be a gathering of 400 people. People have given a good word for the services provided by you. We will need your two rooms. All the catering services including the bearer and the decoration charges need to be detailed. I would like to enquire about the overall charges that I had to pay. The details of the total cost including the catering cost per head may be mentioned separately. It will be appreciated if the list containing the menu is mailed to me. This would facilitate us to finalise the same. In case your rates are within my pocket, I will see you to discuss and finalise the matter. If advance needs to be paid it will be done.

pls don't use like this: All the catering services including the bearer and the decoration charges need to be detailed. as it is so rude. Instead use Pls ensure that all the catering services including the bearer and the decoration charges are to be detailed.
also It will be appreciated if the list containing the menu is mailed to me not appreciated it is appreciatable
If advance needs to be paid it will be done..... Just complete it by adding "soon" at last which gives an effective reading
