Madam,
I am XYZ, the President of Book Buddies Club. It is my duty to keep a check and maintain records of the library books. It has came into my notice that lately a lot of books are missing from the library.
Through this e-mail, I would like to inform to kindly bring it into the notice of the students to return the books issued to them in a week's time. It is a very good thing that, children, despite the distracting factors, read books and find joy in it. But, they are a school property and there are people responsible for their maintenance. The students must abide by the school rules before issuing the books.
The missing books would be reported to the co-coordinators of the respective students and strict action would be taken, if they do not return the books in a week's time. Certain exceptional cases are accepted. The books, at times, are not returned in the condition they were issued. I must write this straight - if the students cannot keep them in good condition, they may not issue it.
As a class teacher, I request you to check their library cards timely, twice a week, if possible. Defaulters' names must be given to the coordinators. If a student if found to be a defaulter three times a month, his library card would be seized.
