We would like to visit your plant to study how cement is manufactured. We have decided to visit factory on 5th Dec. between 11 a.m. and 1 p.m. Our batch consists of 85 students and five teachers. Therefore, as the President of the club, I request you to permit is to visit your factory on that day at the time mentioned above. I shall be happy to recieve an early reply from you in order to finalise the arrangements.

Letters serve variety of purpose ranging from keeping in touch with friends, relatives and to solve official problems. These are broadly divided into two classes – Informal and Formal.

\bigstar \:  \underline{ \mathfrak{Informal \:  Letters:}}  \:

Letters written to a friend or relative is called an informal letter. They are personal in nature and are written in a natural and lively way.

A personal letter has the following six parts:

  1. The writer's address: It is written in the top left hand side corner of the page. Generally it takes three lines.
  2. The date: It is put underneath the adress normally after the gap of a line. Standard methods of writing dates are: • 1 January 20_ _ • 1st January 20 _ _ or January 1, 20 _ _.
  3. The salutation: It comes under the date normally after the gap of line. • Dear mother • Dear father • Dear John etc.
  4. The body: Whatever is the news, message or greetings that we wish to communicate, form this part.
  5. The subscription comes at the close of the letter followed by the signature e.g., Your affectionately, Your loving friend, Yours sincerely.
  6. The letter ends with signature i.e., where the writer writes his/her name.

The most important point to remember is that in a personal letter the style is chatty or conversational.

\bigstar \:  \underline{ \mathfrak{Formal \:  Letters:}}  \:

Formal letters are impersonal letters. All kinds of applications, letters to Editors and business correspondence comes under this category.

In the format these letters differ from informal letters only on two points i.e., under the date and before salutation, one has to write the address of the person to whom the letter is addressed.

Yet another point of difference is subscription. The standard subscription in fomal letters is ‘Yours faithfully’ / ‘Yours truly’. Also remember you have to mention the subject of your application just before the salutation. But for these few points of variance, the two types of letters have the same format.

Note: All punctuation marks are used only in the main body pf letter. The address, date (unless the month is mentioned first), salutation and subscription jave ‘No punctuation mark’.
