When the time variance is too immense, there may be no perfect conference time for everybody, which means somebody will have to start past or finish later than the regular employed hours.

Be fair with that: ask people beforehand if they can reschedule their day, and allocate this unpleasant responsibility between the team members fairly.

Don’t make just one person always start early or stay late.
