When you must write a letter to an insurance company, consider it a formal business letter and format it accordingly. The proper way to address a letter to an insurance company involves including all the relevant details to ensure that your letter makes it to the correct person. Your attention to detail will prevent delays that could affect your coverage or the timely payment of claims.

Place the date at the top of the letter, immediately under the letterhead, if applicable. Include two blank lines after the date.

Enter the contact person’s name as the top line of the inside address of the letter. If you have a title for this person, place a comma and follow the name with the title.

Place the insurance company name on the line immediately after the contact name. Enter the street address on the next line and the city, state and ZIP code on the final line of the inside address. Double-space after the last line.

Include account numbers and other identifying information next. Begin with the word “Re:” and then follow with the name of the account holder. On the next line, indicate the type of insurance coverage you have with the insurance company. On the final line, note the policy and group number of the coverage, if applicable. Skip the next two lines.

Open the letter with a personal salutation. For example, write “Dear” and then the personal title and last name of the contact person if your relationship is formal. If you are on a first-name basis with the person, use the first name only after the salutation.

Compose the letter. Close the letter with a closing such as “Sincerely” or “Kind Regards.” Skip four lines and enter your full name.
