Introduction

We come across various stages when we plan to build a house. Selecting a site, getting a proper design as per our required specifications and proceeding to achieve our objective of completion of the construction without any hindrance would be our priorities. In this process, we depend on some intermediary to get the things done which could be avoided. For example, getting the approval of the Town planning authorities of the local municipal administration is the foremost important thing. Though we complete all the formalities, we would be moving here and there to write a letter to the Town Planning Officer to do the needful. Not that we don't know how to write but just a simple hesitation that whether it would be impressive or not.

How to write a letter to the concerned officer

Every Municipal Corporation/ Town Municipality would be having a Chief Planning Officer /Town Planning Officer as the case may be to address the issues regarding the planning of the localities and their approvals. We should address the letter to him regarding the approval of new construction or extension of the existing construction etc.

Respected Sir,

I own a plot of 189 Sq. Yards (Plot No. 189) in the Kalyaninagar area which is an approved lay out by the the District Development Authority. It was purchased on 28th February 2011 and now I propose to construct a two bed room flat in the existing vacant land. Requisite specifications and drawings of the proposed construction duly drawn by the authorized surveyor are enclosed for your kind perusal.

The application form together with the vacant land certificate issued by the competent authority, attested copies of the sale deeds and requisite Demand draft drawn in the name of Municipal Commissioner is also enclosed for your consideration and necessary approval please.

May I request you to kindly accord your approval for the proposed plan so that we can go-ahead with the construction at the site at the earliest. Thanking you in anticipation.
