Second, use the business letter format that you probably learned in your English classes.

Third, address him properly  

Fourth, spell out what you are requesting in the first paragraph, for example, “I am writing as president of the chess club because we would like to attend the multi school chess competition on November 12–14 in the city of. “Yes, be sure to include the reason the letter is from you, in this case because the writer is president of the group. If there is just an informal group of you and it isn’t a school related activity, you probably should avoid involving the school at all.

Fifth, your next paragraph should spell out why you think this trip is a good idea. For example, “By facing new and experienced players we hope to improve the level of our chess play. In addition, we believe that a few of our members may bring home trophies, which would be great to add to our school’s trophy case.”

Sixth, you need a paragraph about where you would stay, what the probable costs would be, and whom you might get as a chaperone. The plans should be the best estimates and ideas you can come up with. Even if they aren’t perfect, they show that you are thinking. Be sure that you don’t name a chaperone if that person hasn’t agreed, but you can list a few faculty members you would like to ask. So it would either be, “I have spoken about this with Mrs.and she had indicated that if the school approves she would be willing to chaperone” or you would say, “We have thought about a few teachers who might be willing to chaperone the trip, particularly Mr. , Mrs , and Miss  

Seventh, having laid the costs include a breakdown and plan for raising the money. This can be done as a separate spread sheet or in prose. It should be clear that you have included transportation, lodging, food, entry fees, and any other expenses you can think of.

Now, how are you raising that money? That, too, is part of your plan. If you want to be successful in dealing with the principal, realize that there is at best a limited amount of money available from the school.  

Eighth, be sure to end with the proper phrasing. “Respectfully” is fine
