Dear Ms. Anitha,

I would like to present to you a analytical report of the issues being caused due to the absence of the photocopier. I have been allotted the job of photocopying the lecture notes after every class and to distribute to the students. However, the person in charge of the photocopying machine is not available most of the time. It becomes difficult to go to a public shop and get the photocopies done after school hours. Most of the students leave by school transportation which cannot wait for a long time after school hours till the notes are distributed. The lecture notes are important as we have sudden tests all the time and we need to be well-prepared for it.

I request you to please talk to the management about this issue and provide another in charge in the absence of the main person to operate the photocopier. Also, it would be nice if there is a manual provided in case the students need to use the machine by themselves.
