• As  it  is  aformal  letter,the  format  has  to  be  followed  strictly.  Only  formal language  can  be  used  i.e.  abbreviations  and slang  language  should  be avoided.
• Keep the content brief and to the point.
• Divide the content into clear paragraphs.
• The first paragraph should be short and state the purpose of the letter (the problem).
• The middle paragraphs should contain the relevant information (the causes and  effects  of  the  problem). Organize  the information  in clear  and  logical manner.
• The last paragraph should state the possible solutions for the problem. Do not ask the editor to find a solution for the said issue
