I am writing this letter to you with a heavy heart because I will not be able to make it to the guest lecture and workshop for XYZ University this year. I understand that these workshops have taken a turn into becoming a yearly routine and sort of like a tradition. I admire the effort you put in year after year to make these workshops a success, but sadly I have committed elsewhere during the same timings. Due to a  business conference for our production house with that of major clients, I will not be able to attend the workshop.

I am really sorry and have arranged for a substitute lecturer for you. I can also share a list of potential drama producers with you if you would like.
