British preserve official document for future retrieval.

the British preserve official document because the british believed that the act of writing is very important. once the thing is written down it could be easily debated and discussed in the future if required. so, they used to write down any policy, order,doctrine etc passed by the british.they are also preserved in the room Attached​ with the official centers.
